Privacy policy

This policy explains what information AIT-Dynamics LLC ("AIT-Dynamics", "we", "us") collects through aitdynamics.ltd, how we use it, and the choices you have. It does not cover information we receive offline or through other websites.
What we collect
- Information you send us. When you use our certificate of insurance (COI) or W-9 request forms, we collect what you enter, such as your name, company, address, email address, phone number and any notes. When you email or call us, we receive whatever you choose to share.
- Technical information. Like most websites, our hosting provider automatically records basic request data in server logs, such as IP address, browser type, pages requested and the date and time of the visit.
To count visitors, our own server sets two small cookies: one that lasts a year so a returning browser is not counted twice, and one that ends when you close your browser. They hold no personal information, are not shared with anyone, and are not used for advertising. We do not use third-party analytics, advertising trackers or social media tracking pixels.
The free Live captions tool listens through your browser. Your browser’s maker (Google, Microsoft or Apple) turns the audio into text. If your browser can’t translate on its own, the caption text is sent through our server to DeepL to be translated. We don’t keep the audio, captions or translations.
How we use it
- To respond to your request, such as issuing a certificate of insurance or sending a W-9.
- To communicate with you about bookings, invoices and services.
- To keep business, tax and insurance records as required by law.
- To keep the site secure and working, and to block spam and abuse.
We do not sell or rent your personal information, and we do not share it for advertising.
Who we share it with
- Service providers who run our website hosting and email, only as needed to provide those services.
- Our insurance broker or carrier, when needed to issue a certificate of insurance you requested.
- Authorities, when required by law or to protect our rights, safety or property.
Our pages load fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google. See Google's privacy policy.
How long we keep it
We keep request emails and related records for as long as needed to serve you and to meet tax, insurance and legal recordkeeping requirements. Server logs are kept according to our hosting provider's standard retention.
Security
The site is served over HTTPS, and we limit access to your information to people who need it. No method of transmission or storage is completely secure, so please don't send sensitive information such as Social Security numbers or bank details through our forms.
Your choices
You can ask us to access, correct or delete the personal information we hold about you by emailing info@aitdynamics.com. We may keep certain records where the law requires it.
Children
This site is intended for businesses and is not directed to children under 13. We do not knowingly collect information from children.
Changes
We may update this policy from time to time. The effective date above shows when it last changed.
